Terms & Conditions

Effective Date: November 2, 2026. Please read these Terms of Service (“Terms”) carefully before using GreetX’s AI receptionist platform. By registering for an account or using our services, you accept these Terms in full. You affirm that you are legally able to enter a binding contract. If you do not agree, do not use the service.

1. Eligibility

You must be at least 18 years old and use the Service for business purposes. The Service is offered only to customers located in the United States.

2. The Service

GreetX provides an AI-powered virtual receptionist that answers phone calls, records calls, creates transcripts and AI-generated summaries, takes messages, and routes information to you. Features may change over time. We may add, modify or remove features at our discretion.

3. AI Limitations

The Service uses artificial intelligence, which can make mistakes. AI responses, transcripts and summaries may be inaccurate, incomplete, misheard or out of context. You agree that:

  • You are responsible for reviewing AI outputs before relying on them and for all decisions you make based on them.
  • The Service is not an emergency service. It must not be used to receive or respond to emergencies, and callers in an emergency should dial 911.
  • AI outputs are not medical, legal, financial or other professional advice, and the AI must not be configured to give such advice.
  • You are responsible for the scripts, instructions, business information and knowledge you give the AI.

The Service records calls. Federal law and many states allow recording with one party’s consent, but several states require the consent of all parties, including California, Florida, Illinois, Maryland, Massachusetts, Montana, New Hampshire, Pennsylvania and Washington, with others having partial or special rules. Because callers may be located anywhere in the US, you agree to:

  • Keep the Service’s recording disclosure (for example, “This call may be recorded”) enabled at the start of every call, and not remove or alter it in a way that makes it non-compliant.
  • Obtain every consent and give every notice required by federal, state and local law, including wiretapping, eavesdropping and privacy laws.
  • Comply with the Telephone Consumer Protection Act (TCPA), state telemarketing laws, carrier rules (including A2P 10DLC registration for text messaging) and Do-Not-Call rules for any outbound calls or texts.

You, not GreetX, are solely responsible for this compliance.

5. HIPAA and Health Information

GreetX maintains safeguards designed to comply with the Health Insurance Portability and Accountability Act (HIPAA). If you are a covered entity or business associate under HIPAA, you must sign our Business Associate Agreement (“BAA”) before any protected health information (“PHI”) passes through the Service. Without a signed BAA, you must not use the Service to collect or store PHI. If these Terms conflict with a signed BAA regarding PHI, the BAA controls.

6. Phone Numbers

Phone numbers used with the Service are provisioned through third-party telecommunications providers, such as Twilio. You do not own these numbers; you receive a right to use them while your account is active and paid.

  • If you cancel, pause, downgrade or fail to pay your subscription, your phone number may be released and permanently lost. Released numbers may be reassigned to someone else and usually cannot be recovered.
  • If you want to keep a number, you must request a port-out before canceling or pausing. Porting depends on carrier rules and is not guaranteed. Carrier or porting fees may apply.
  • GreetX is not liable for any loss of a phone number, missed calls, or business impact resulting from a released number.
  • Numbers may also be suspended or reclaimed by the carrier for legal, regulatory, fraud or policy reasons.
7. Your Account

You must provide accurate information and keep it up to date. You are responsible for keeping your login credentials secure and for all activity under your account. Notify us immediately at support@greetx.ai of any unauthorized access.

8. Fees, Billing and Cancellation
  • Subscription and auto-renewal. Paid plans renew automatically each billing period at the then-current rate until you cancel. You authorize us to charge your payment method on each renewal.
  • Usage charges. Some features, such as call minutes, texts or phone numbers, may carry usage-based fees as shown in your plan.
  • Cancellation. You can cancel online through your account settings or by emailing support@greetx.ai. Cancellation takes effect at the end of the current billing period.
  • Refunds. Fees are non-refundable except where required by law.
  • Price changes. We will give at least 30 days’ notice before a price increase takes effect on your plan.
  • Late payment. We may suspend or pause the Service for unpaid amounts, which may cause loss of your phone number (Section 6).
  • Taxes. Prices exclude taxes, which you are responsible for paying.
9. Acceptable Use

You must not use the Service to:

  • Break any law or violate anyone’s rights, including privacy and recording laws.
  • Make spam, robocalls, harassing, deceptive or fraudulent calls or messages.
  • Impersonate any person or misrepresent that callers are speaking with a human when required by law to disclose AI use.
  • Upload malware, probe or attack our systems, or reverse-engineer, copy or resell the Service.
  • Collect sensitive data you are not legally permitted to collect.

We may suspend or terminate accounts that violate this section, with or without notice.

10. Your Data

You own the call recordings, transcripts, summaries, messages and other content processed through your account (“Customer Data”). You grant GreetX a limited license to host, process and use Customer Data only to provide, secure, support and improve the Service, as described in our Privacy Policy. We may create and use de-identified or aggregated data that does not identify you or any individual. We do not sell Customer Data.

11. Data Retention

Call recordings, transcripts and summaries are automatically and permanently deleted 90 days after they are created, as described in our Data Retention Policy. You are responsible for downloading and keeping anything you need before it is deleted. GreetX is not liable for data deleted under that policy or after your account ends.

12. Third-Party Services

The Service relies on third parties, including telecommunications carriers, cloud hosting providers and AI model providers. We are not responsible for outages, errors, changes or actions of third-party services, and your use of integrations you connect is subject to those providers’ terms.

13. Service Availability

We work to keep the Service running, but we do not guarantee it will be uninterrupted, error-free or available at any particular time. Server failures, software bugs, development or deployment issues, maintenance, carrier outages, cyberattacks and other unexpected technical problems may occur and may cause missed or dropped calls, delayed or lost messages, or data errors. We are not liable for failures caused by events beyond our reasonable control, including natural disasters, power or internet failures, carrier failures, government actions or acts of third parties.

14. Disclaimer of Warranties

TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE,” WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, ACCURACY AND NON-INFRINGEMENT. GREETX DOES NOT WARRANT THAT AI OUTPUTS WILL BE ACCURATE OR THAT THE SERVICE WILL MEET YOUR REQUIREMENTS.

15. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW:

  1. GREETX WILL NOT BE LIABLE FOR ANY FINANCIAL LOSS, LOST PROFITS, LOST REVENUE, LOST BUSINESS OR CUSTOMERS, MISSED CALLS OR APPOINTMENTS, LOSS OF DATA OR PHONE NUMBERS, OR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY OR PUNITIVE DAMAGES, HOWEVER CAUSED, INCLUDING FROM AI ERRORS, SERVER OR SOFTWARE ISSUES, OUTAGES OR THIRD-PARTY SERVICES, EVEN IF ADVISED OF THEIR POSSIBILITY.
  2. GREETX’S TOTAL LIABILITY FOR ALL CLAIMS RELATING TO THE SERVICE OR THESE TERMS WILL NOT EXCEED THE AMOUNT YOU PAID GREETX IN THE THREE (3) MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM.

Some states do not allow certain exclusions or limits, so some of the above may not apply to you. In those states, our liability is limited to the smallest amount permitted by law.

16. Indemnification

You will defend, indemnify and hold harmless GreetX and its owners, employees and contractors from any claims, damages, fines, penalties and costs (including reasonable attorneys’ fees) arising from: (a) your use of the Service; (b) your Customer Data or AI instructions; (c) your failure to obtain recording consents or comply with the TCPA, HIPAA or other laws; or (d) your breach of these Terms.

17. Suspension and Termination

You may stop using the Service and cancel at any time. We may suspend or terminate your access if you breach these Terms, fail to pay, create legal or security risk, or if required by law. On termination, your right to use the Service and any phone number ends, and Customer Data will be deleted under our Data Retention Policy. Sections 3, 6, 10, 11 and 14 to 21 survive termination.

18. Dispute Resolution and Arbitration
  • Informal resolution. Before filing a claim, you agree to email legal@greetx.ai and try to resolve the dispute informally for 30 days.
  • Binding arbitration. Any unresolved dispute will be resolved by binding individual arbitration administered by the American Arbitration Association under its Commercial Arbitration Rules, held in [County], Texas or by video. Either party may bring an individual claim in small claims court instead.
  • Class action waiver. Claims may be brought only individually, not as a plaintiff or class member in any class, collective or representative action. There are no jury trials.
  • Opt-out. You may opt out of this arbitration agreement by emailing legal@greetx.ai within 30 days of first accepting these Terms.
  • Exception. Either party may seek injunctive relief in court for misuse of intellectual property or unauthorized access to the Service.
19. Governing Law and Venue

These Terms are governed by the laws of the State of Texas and applicable US federal law, without regard to conflict-of-laws rules. For any matter not subject to arbitration, the state and federal courts in [County], Texas have exclusive jurisdiction.

20. Changes to These Terms

We may update these Terms. For material changes, we will notify you by email or in the Service at least 15 days before they take effect. Continuing to use the Service after that date means you accept the updated Terms.

21. General

These Terms, together with our Privacy Policy, Data Retention Policy, Cookie Policy and any signed BAA or order form, are the entire agreement between you and GreetX. If any provision is unenforceable, the rest remains in effect. Our failure to enforce a provision is not a waiver. You may not assign these Terms without our consent; we may assign them in a merger, acquisition or sale of assets. Notices to you may be sent to your account email.

For any questions about these Terms, please contact us at legal@greetx.ai.
