Effective Date: November 2, 2026.
GreetX (“we” or “us”) is committed to protecting your privacy. This Privacy Policy explains what personal and call-related information we collect when you use our platform, how we use and share it, and your choices regarding that information. We follow applicable privacy laws (e.g. HIPAA, GDPR, CCPA).
-
Information Collected: We collect information that you provide (such as your name, email, phone number, billing details) and information automatically generated by your use of GreetX. When you receive calls, we record call audio and generate transcripts (text). We collect technical data like IP address, device type, and browser data. We also use cookies and similar tracking on our website (see Cookie Policy).
-
Use of Information: We use your information to operate and improve GreetX, deliver customer support, and personalize your experience. Call recordings and transcripts are used only to route messages, provide context to your team, and improve the service (for example, to train our AI for better accuracy). We do not use your personal call content to train any public AI models. We may use aggregated or de-identified data internally to analyze performance and for security monitoring.
-
Legal and Security Requirements: We use your data to comply with laws and to respond to legitimate legal requests (such as court orders). We maintain administrative, physical, and technical safeguards to protect data. For example, all call recordings and transcripts are encrypted in transit (TLS) and at rest (AES-256). We enforce multi-factor authentication and role-based permissions to limit who can access your data.
-
HIPAA Compliance: If you are a healthcare customer, we implement safeguards for protected health information (PHI) as required by HIPAA. We support signing a Business Associate Agreement. We will not use or disclose PHI except as allowed by our agreement or as required by law.
Privacy by design: We comply with global privacy standards (e.g. EU Data Privacy Framework/GDPR, CCPA). Your trust is our priority.
-
Data Retention: We retain call recordings, transcripts, and associated data for 30 days by default. After 30 days, we delete the recordings and transcripts from our systems. Audit logs and system records may be kept longer (up to 6 years as required by HIPAA). If you terminate service or if required by law, we will return or securely destroy your data. For instance, HIPAA guidance requires that a vendor return or destroy all PHI at contract end, and delete backups within 30–60 days. We follow similar practices to ensure prompt deletion of your data after 30 days or upon request.
-
No Data Selling: GreetX does not sell or rent your personal information or call content to third parties. We share data only with trusted service providers who help us run the platform (such as cloud hosting, transcription services, and analytics providers) and only to the extent needed. These processors are bound by contract to protect your data and use it only on our instructions. We also may disclose data if required by law (for example, in response to a subpoena).
-
Your Rights: If you are located in the EU, UK, or California (or other jurisdictions with similar laws), you have rights to access, correct, or delete your personal data, and to restrict or object to certain processing. You may also have the right to withdraw consent. For California residents, you may request disclosure of what information we collect and opt-out of any sharing (though as noted above, we do not sell data). To exercise your rights or ask questions, contact us at privacy@greetx.ai.
-
Cookies and Tracking: We use cookies to operate our website and to gather analytics about site usage. Cookies are small data files stored on your device. Our Cookie Policy (below) provides details on the types of cookies we use and how you can manage them. These tools help us improve our services. See our Cookie Policy for more information.
We may update this Privacy Policy from time to time. We will post any changes on our website with a revised effective date. We encourage you to review this policy periodically.
